Why Successful Transmission Doesn’t Always Mean Receipt

When a fax service reports successful delivery, the transmission genuinely occurred — the destination fax machine confirmed receipt of every page. But successful transmission to a machine doesn’t guarantee the recipient can access the document. Common reasons the recipient may not see it:

  • Their machine ran out of paper — Your fax arrived but couldn’t print
  • Their machine ran out of ink or toner — Same problem, different cause
  • Their machine’s memory was full — No space to store your incoming fax
  • Their printer jammed or broke — Machine received it but couldn’t print it
  • Wrong person checked the machine — Your fax printed but the wrong person picked it up
  • Multiple fax machines — Your fax went to a different machine than they expected

If the recipient can check any of these, that’s often the fastest resolution. Otherwise, we can resend on our side.

The technical detail: how fax “sent” confirmation works

A “sent” confirmation isn’t a guess — the fax protocol requires a sequence of exchanges between the sending and receiving machines, and every step must complete before the next begins:

  1. Connection — Machines connect and exchange capability information
  2. Settings — Receiving machine confirms transmission settings
  3. Line test — Both machines verify line quality and adjust speed
  4. Page-by-page transmission — Each page is sent with error detection, and the receiver confirms each page individually
  5. Complete document confirmation — Final signal when the entire document has been received
  6. Disconnect — Final confirmations exchanged

If any errors occur during transmission, the machines automatically retransmit the affected sections. When available, PayPerFax also captures the CSID (Called Station Identifier) — the ID broadcast by the receiving fax machine, proving we connected to a real device at the destination.

This is part of the international fax standard — a machine in Tokyo can communicate with one in Buenos Aires using the same protocol.

PayPerFax Delivery Verification

On PayPerFax, delivery status appears in three places:

  1. The web tracking screen after submitting your fax
  2. The confirmation email sent when transmission completes
  3. The PayPerFax Tracker browser extension — status alongside your other recent faxes without opening the site

When PayPerFax confirms successful transmission, the verification steps above have all completed. When available, the CSID from the receiving fax machine appears in your confirmation email as additional proof of connection to the actual destination device.
