Data Retention Policy

How long PayPerFax retains different types of data, including billing information, fax images, and security logs.

This document details how long we store account information.

Billing data

Billing data, such as invoices, receipts, payment records, etc., where issued are stored indefinitely. Such data may include personally-identifiable information such as the contact person’s name and their email address, and business address at the time of issuing the invoice.

Credit card information

Credit card information, such as the long 16-digit number, is collected through our payment processors. We do not have access to this data, and therefore do not store it.

Operational data

Operational data is stored for the following durations:

  • Fax transactions (metadata such as date of transmission, destination, etc.): indefinitely.
  • Fax images: 30 days (retained for quality assurance, troubleshooting, and operational purposes).

Fax transmission provider (InterFAX)

InterFAX stores fax images for 14 days and keeps transaction records for 30 days after the end of the month in which the fax was sent; data needed for billing may be retained longer.

Security audit trail

All user actions performed for the purpose of sending a fax are logged for security audit purposes. Such data is stored indefinitely.

Quality Assurance

Fax images may be accessed during the retention period quoted below for quality assurance purposes, including verifying transmission quality, troubleshooting delivery issues, and improving service reliability.

Backups

We perform backups of various aspects of the system for disaster recovery purposes. Backups retain information which is no older than that detailed above.
